Position Description
An Executive Assistant is instrumental in optimizing the daily workflows of our CEO through a diverse range of administrative tasks. As a key enabler of the executive team, their responsibilities will include meticulously managing calendars, seamlessly coordinating travel arrangements, efficiently preparing expense reports, and lending administrative support across key initiatives being driven by Telesto’s CEO and leadership team.

By providing personalized and timely support, the Executive Assistant will play a crucial role in enhancing business efficiency and contributing to the overall success of the organization.

Job Responsibilities
On a day-to-day basis, the Executive Assistant’s responsibilities include:

  • Act as the point of contact among executives, employees, clients, and other external partners; special focus on supporting the prioritization of the CEO’s time
  • Manage the CEO’s calendars and set up meetings
  • Make travel and accommodation arrangements
  • Support administration, logistics, and coordination of regular company board meetings
  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEO’s behalf
  • Track expenses and prepare weekly, monthly, or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Manage information flow in a timely and accurate manner
  • Take minutes during bi-monthly board meetings and as needed on other select meetings
  • Screen and direct phone calls and distribute correspondence

Because Telesto is a growing and evolving firm, the focus of the Executive Assistant’s responsibilities within the firm may be subject to adjustment. Any such change will be communicated to the Executive Assistant at such time.

Position Requirements
The ideal candidate will meet the following criteria:

Administrative and knowledge skills

  • 4-6 years of work experience as an Executive Assistant, Personal Assistant, or in a similar role, showcasing the ability to manage executive schedules and demands efficiently
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with office technology and applications, including virtual collaboration tools
  • High School diploma; further education, such as a PA diploma, Bachelor’s degree, or certification, is considered a plus

Interpersonal and organizational skills

    • Excellent verbal and written communication skills, enabling effective interaction and correspondence with all levels of management and staff
    • Exceptional organizational and time management skills, with a proven track record of prioritizing and managing multiple tasks seamlessly in a dynamic environment
    • Strong sense of discretion and confidentiality, preserving the integrity and privacy of sensitive company and personnel information
    • Keen business acumen, with an ability to understand the strategic needs of the business and align work accordingly
    • Proactive approach to problem-solving and project management, anticipating needs and proposing solutions with limited oversight
    • Altruistic or volunteer professional or personal experience is a plus

Compensation
Telesto Strategy cares about its people, and its compensation package and benefits are designed accordingly. The standard base pay range for this role is $75,000-99,000 annually. This base pay range is specific to Illinois and may not be applicable to other locations. In addition to a competitive base salary, this position is also eligible for year-end bonus compensation based on individual and firm performance. Actual amounts will vary depending on individual and firm performance.

Location and travel
This role is based in Chicago with a mix of in-person and remote work. Telesto is planning to open an office in Chicago in 2024, and as that happens, we will adopt a hybrid policy.
